After every important phone call or in-person conversation with an institution — your bank, your landlord, an insurance company, a government office — send a follow-up email summarizing what was discussed and agreed. Write it simply: "Following our conversation today, I understand that..." and list the key points.
This does three things at once: it confirms the agreement, creates a timestamped record, and gives the other party a chance to correct you if you misunderstood. Most bureaucratic disputes come down to one question: "Can you prove it?" This email is your proof.
The point
After every important call or meeting with an institution, send a follow-up email summarizing what was agreed — it becomes your proof.
