Before you schedule a meeting, ask yourself: does this require a live discussion, or am I just broadcasting information? If there's no decision to make, no brainstorm to run, and no conflict to resolve, an email or a shared document will do the job faster and respect everyone's focus time.
The best filter is simple: if the meeting has no questions to answer, it doesn't need a room.
